As a new UDC year begins, it is a perfect time to review the steps toward having a proper, well run UDC Chapter meeting each month.
President General's Page
The first step is the President's—get ready and be prepared. Ask the Officers if they have reports as well as your Committee Chairmen so they may be placed on the agenda. Have all papers in order, give one copy of your agenda to the Recording Secretary, and then stick to the agenda.
Start your meeting on time.
When the meeting begins, the UDC Ritual must be used and followed. This is one requirement for having a proper meeting. The President should not pick and choose what parts to use—it's there for a purpose. Our prescribed UDC Ritual must be followed.
It goes without saying that proper business decorum should be followed—no chewing gum or nibbling on candy—it's a meeting. Save that for after the meeting is adjourned.
Meetings should begin with the call to order, the invocation, the Pledge of Allegiance to the United States flag, the salute to your State flag, the salute to the Confederate flag, and the singing of Dixie’s Land, followed by the Opening Ritual.
Call on the Officers in order for their reports, as well as any Committee Chairmen who have advised that they have reports.
The Historian General's Program should be announced and referred to, followed by any other program you wish to have. The President General appreciates it if her mesage is read also.
Consult the Handbook for any questions, and the Minutes for the Bylaws, if needed.
By following these few rules, you can have a productive and interesting meeting.
Remember—if the UDC Ritual is not used, you don't have an official meeting!Janice K. Langford
